Scope of this policy
This Privacy Policy explains how EVRMENT (“Evrment,” “we,” “us”) handles personal information. It applies to:
- visitors to our marketing website, evrment.com;
- prospects who contact us or request a demo;
- account holders and users of our product at evrment.ai, for their account and usage information.
For this information, Evrment decides how and why it is used, so we act as the controller (sometimes called the “business”).
Agency data is different. Our customers are life insurance agencies. They upload and manage their own leads, clients, recruits, call recordings, messages, and similar records. We process that data only on the agency’s behalf and under its instructions, as a processor (or “service provider”), under our Data Processing Addendum. The agency’s own privacy notice governs that data. If you are a consumer and an agency contacted you using Evrment, please see If an agency holds your data below.
Information we collect
Information you give us
- Account information: name, email address, phone number, agency name, role, and login details when you create or are invited to an account.
- Billing information: billing contact, billing address, plan, and transaction history. Card details are collected and stored by our payment processor. We do not store full card numbers.
- Contact form and emails: what you send when you reach out, such as your name, email, agency, team size, and message. The contact form on evrment.com is delivered to us by email or webhook and is not stored in a database by the website itself.
- Support conversations: the content of support requests and our replies.
Information collected automatically
- Usage and log data (in the product): IP address, browser and device type, pages and features used, timestamps, errors, and actions recorded in your workspace’s audit log.
- Server logs (on the website): our hosting provider may keep standard request logs, such as IP address, user agent, and requested page, for security and reliability.
- Cookies: evrment.com sets no cookies beyond a single strictly necessary cookie that remembers your cookie consent preference. We do not run analytics or advertising trackers on the website. The product at evrment.ai uses strictly necessary cookies to keep you signed in and secure.
Information from other sources
- Your agency: if your agency administrator invites you, they give us your name, email, and role so we can set up your login.
- Service providers: our payment processor tells us whether a payment succeeded, and our telephony and messaging carriers send us delivery and call status information.
- Public business information: we may look up publicly available details about an agency that asks for a demo, such as its website, to prepare for the conversation.
How we use information
We use personal information to:
- provide, operate, and maintain the service, including authentication and account management;
- process payments and manage subscriptions;
- respond to inquiries, demo requests, and support tickets;
- send service messages, such as security alerts, billing notices, and changes to our terms;
- send product updates or marketing emails, which you can unsubscribe from at any time;
- protect the service, detect abuse and fraud, and enforce our terms;
- understand and improve how the product is used, using aggregated or de-identified information where we can;
- comply with legal obligations and respond to lawful requests.
We do not use personal information for automated decisions that have legal or similarly significant effects on you.
Legal bases
Some privacy laws, such as the GDPR and UK GDPR, require a legal basis for processing. Where they apply, we rely on:
- Contract: to provide the service you signed up for and manage your account;
- Legitimate interests: to secure and improve the service, respond to inquiries, and market to business contacts, balanced against your rights;
- Legal obligation: to keep records and respond to lawful requests;
- Consent: where we ask for it, such as for optional cookies if we ever add them. You can withdraw consent at any time.
AI and model providers
Evrment includes AI features, such as analytics, call routing receptionists, and in-call coaching. To run them, relevant data may be sent to third-party AI model providers, who process it to return a result.
Our policy: we do not permit our AI model providers to train on your data. We choose providers and settings that do not use customer inputs or outputs to train their general models, and we send only the data a feature needs. We do not use one customer’s data to benefit another customer.
Sharing and subprocessors
We share personal information only as needed to run Evrment, with these categories of service providers:
- cloud hosting and database providers;
- authentication providers;
- telephony and messaging carriers;
- email delivery providers;
- payment processors;
- AI model providers;
- error monitoring providers.
These providers may only use the information to provide their services to us, under contracts that require appropriate confidentiality and security.
We may also share information:
- within your agency workspace, with other Users your administrator has invited;
- when required by law, subpoena, or to protect the rights, safety, or property of Evrment, our customers, or others;
- with a buyer or successor in a merger, acquisition, or sale of assets, subject to this policy or a notice to you;
- with your consent or at your direction.
Waitlist and launch updates
When you join the Evrment waitlist on evrment.com we collect what you give us and a little about how you arrived:
- What you enter: your name and email, and, only if you choose to add them, your company, phone, role, agency size, current CRM and dialer, the plan and features you are interested in, and how you heard about us.
- Feedback you send: ideas, questions, private-preview and beta requests.
- Attribution: the page you landed on, the page you joined from, campaign (UTM) tags, the referring site, a referral code if someone shared a link with you, your browser's user agent, and a one-way hash of your IP address. We do not store the IP address itself and we do not set cookies for this.
- Consent record: that you agreed to receive email, when, and the version of the wording you agreed to.
Why: to send you development updates, early-access and beta opportunities, launch and pricing announcements and related Evrment information, to respond to requests you make, and to understand which agencies want Evrment and why. Text messages are not part of the waitlist; we will not text you unless you separately agree to it.
Retention: until you unsubscribe or ask us to delete it. If you unsubscribe we keep a record that you did, so we don't email you again. Unsubscribe from any email, or email support@evrment.com to be removed entirely. The waitlist is not shared or sold.
No selling or ad sharing
We do not sell personal information. We do not “share” personal information for cross-context behavioral advertising, as those terms are defined under California law. We do not buy or sell leads, and we do not use agency customer data for our own marketing.
Retention
We keep personal information only as long as we need it:
- Account data: for as long as your account is active, then as described below.
- After cancellation: your workspace stays available for export for 30 days, then is deleted from the live service. Our intended practice is that backups roll off within a further 35 days.
- Billing records: for as long as tax and accounting laws require.
- Inquiries and support: for as long as useful to respond and follow up, then deleted or de-identified.
- Logs: for a limited period for security and troubleshooting.
Security
We use technical and organizational safeguards designed to protect personal information, including encryption in transit and at rest, and audit logging. Carrier portal credentials stored in the vault are masked, protected with envelope encryption, and every reveal is logged. Some safeguards, such as automated backups with tested restores, are planned for hosted launch, and our security page says plainly which controls are in place and which are planned. No system is perfectly secure, and we cannot guarantee absolute security.
[DRAFT — counsel review required] Insurance work involves sensitive information, including health, identity and financial details. Evrment is designed to keep that information in designated protected fields rather than in free-text areas; those fields are in development. We do not store payment card numbers, which stay with our payment provider.
Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you;
- Correct information that is inaccurate;
- Delete your information, subject to legal exceptions;
- Portability: receive a copy in a usable format;
- Opt out of marketing emails, and of selling, sharing, or targeted advertising (which we do not do);
- Object to or restrict certain processing, and withdraw consent where we rely on it;
- Not be discriminated against for exercising these rights.
United States. Several states, including California under the CCPA as amended by the CPRA, give residents rights like these. You may use an authorized agent, and we may need to verify your identity and the agent’s authority before acting.
EEA, UK, and Switzerland. If the GDPR or UK GDPR applies, you have the rights above and may also complain to your local data protection authority. We would appreciate the chance to address your concern first.
To exercise a right, email support@evrment.com. We will respond within the time the applicable law requires. Account holders can also update most account details in the app.
Your choices
- Marketing emails: every marketing email includes an unsubscribe link. Service messages, such as security and billing notices, will still be sent while you have an account.
- Cookies: because evrment.com uses only a strictly necessary consent cookie, there is nothing to opt out of today. If we ever add optional cookies or analytics, we will ask first and update this policy.
- Browser signals: we honor Global Privacy Control signals as an opt-out of selling and sharing where the law requires it. Since we do neither, the signal does not change how the site behaves.
- Account data: account holders can view and edit profile details in the app, and an agency administrator can export or delete workspace data.
Children
Evrment is a business service and is not directed to children. We do not knowingly collect personal information from anyone under 18 through our website or account registration. If you believe a child has given us personal information, contact us and we will delete it.
International transfers
Evrment is based in the United States and our service providers may process data in the United States and other countries. Where the law requires, we use appropriate safeguards for international transfers, such as Standard Contractual Clauses.
If an agency holds your data
If an insurance agency called, texted, or emailed you, or you booked an appointment through an agency’s page, your information is held in that agency’s Evrment workspace. The agency decides how it is used. We process it for them as a service provider.
- Contact the agency first. It is best placed to access, correct, or delete your record, and to add you to its do-not-call list.
- To stop texts, reply STOP to the message.
- If you cannot reach the agency, email us at support@evrment.com with the agency name and the phone number or email they used. We will pass your request to the agency and help where we are permitted to.
Evrment does not sell leads and does not decide which consumers an agency contacts.
Changes to this policy
We may update this policy as our service or the law changes. The “Last updated” date shows the current version. If we make a material change, we will notify account holders by email or in the app before it takes effect.
